ADMINISTRATIVE ASSISTANT JOB DESCRIPTION

  1. The administrative assistant is accountable overall to the Session, through the immediate supervision of the pastor.
  2. Ten hours per week

Specific Responsibilities:

*Coordinate the work of the church office, under the direction of the pastor.

*Prepare bulletins for Sunday morning worship, special worship services and children’s bulletins (if applicable); place in sanctuary.

*Serve as receptionist and receive phone calls when in the building. Handle routine calls. Check voicemail. Communicate other calls or requests to the pastor or the appropriate church leader. Contact Session or committee members about meetings and committee details as needed. Make reminder calls.

*Prepare slides for livestream worship content (hymns, prayers of confession, affirmation of faith, announcements, etc.)

*Prepare and post church mailings.

*Do typing, copying, filing, and mailing as needed for Session, pastor, committees, treasurers, and music minister, i.e.: committee minutes, nursery schedules, confirmation, new member, leader training materials, Youth groups and Sunday School.

*Oversee office equipment maintenance.

*Order, purchase, and organize office supplies.

*Receive church mail and UPS packages. Open non-personal mail and refer to proper church leaders. Keep mail slots in “mailbox” room orderly and up to date.

*Work with Clerk of Session to keep church rolls, lists, and records up to date.

*Organize building use, i.e.: communicate weekly with custodian; keep things tidy in building; order custodial and kitchen supplies as requested; schedule building use in conjunction with property elder; turn on lights, heat, AC as needed; update and decorate bulletin boards as needed; keep the church sign (marquee) up to date.

*Update church web page as needed.

*Organize and prepare a bi-monthly newsletter, checking all information and final draft with the pastor prior to mailing.

Office hours: flexible
